Summary

The Transit Executive Assistant is responsible for keeping Coos County Area Transportation District in compliance relative to federal and state requirements. It is the responsibility of the Transit Executive Assistant to manage the daily activities related to scheduling, dispatching, and maintaining the office. Assists with organizing and conducting activities to assure safe, cost-effective, on-time operating performance, tracks and reports sign-in and sign-out times, assure routes are timely, and communicate service issues to the appropriate personnel. This work is done in compliance with the procedures defined by the client and in conformance with company procedures, which involves daily communication and interaction with drivers and staff (as applicable).
 

Responsibilities

  • Maintain compliance with all regulations of the state and federal grants.
  • Prepares all driver schedules and maintains and updates the Ecolane trip database.
  • Maintain the vehicle maintenance log files and schedule.
  • Schedule maintenance and repair for fleet in conjunction with the Road Supervisor.
  • Backup for accident investigation should the Road Supervisor not be available.
  • Assist with all phone call information and dispatching of rides
  • Organize and route trips based on schedule and location to ensure optimal performance
  • Provide assistance to drivers for directions to destinations
  • Assist drivers and transportation providers with problems or issues relating to scheduling
  • Establish and maintain effective communication with transportation providers
  • Insure that adequate driver coverage is available daily.
  • Report and record all incidents to the applicable manager
  • Document and report provider no shows or on-time-performance issues
  • Inform transportation providers of their next-days trips and any new trips that occur
  • Monitor radio, telephones and on-road provision of service for quality
  • Record time of departure, destination, and expected time of return
  • Provide feedback on drivers' performance
  • Operate 2-way radio to communicate with drivers.
  • Maintain current passenger database
  • Money handling including ticket sales, credit card processing, and processing deposits.
  • Data entry utilizing scheduling software, word processing, and spreadsheets.
  • Maintain and input of mileage logs into monthly spreadsheets for Transit Gen eral Manager review
  • Send and complete all monthly billing documentation for accounting including providing ride counts for service contracts.
  • Other duties as assigned

 

Minimum Qualifications

  • High school diploma or G.E.D. equivalent
  • 2+ years in transportation routing, dispatching, and scheduling expertise preferred
  • 1 year experience working with the applicable transit scheduling system preferred
  • Possess valid authorization to work in the United States
  • Criminal background checks performed.
  • Drug screening in accordance with Federal Transit Administration and Federal Department of Transportation required

  • Ability to work flexible hours as required
  • Must be able to demonstrate effective use of scheduling software, two-way radio communication and data analysis skills
  • Skills in the use of computers, including Microsoft Word, Excel and other Microsoft applications
  • Ability to maintain high level of confidentiality
  • Ability to solve problems
  • Regular attendance is required

  1. Range: $15.50-$17.50 per hour based on experience
    Direct Report Staff: 0
    Schedule: Monday - Friday 10:00 am to 7:00 pm
